How Do I Import My CSV Bank Statement?

  • Click Bank.

 

 

  • Click Import Statement


 

 

  • Log in to internet banking and download a bank statement to the desktop.

 

  • Select the Bank Account from the drop-down list 
  • Select CSV or OFX as the file type to be imported


 

  • Click Start
  • Select New map from the action dropdown
  • Click Choose file. Use the selection window to pick the file for import 
  • Click the file 
  • Click Open
  • Click next

CSV files are flexible and need a simple map of how the information in the file is to be teated by the system.

The fields in the file need mapping to system fields. Select from the dropdown list the system field that matches the data displayed.  If there are fields that are not present in the dropdown use the Ignore option

  • Record a name for the mapping in the box
  • Click Save Mapping and Import

 

 

  • A new screen will be displayed showing all the entries that have been imported.

  

A colour coding system helps to see at a glance the status of all imported transactions, they are:

LIGHT BLUE - Imported unchanged

LIGHT YELLOW - Imported - System modified based on previous transactions

RED - Imported - possible duplicate transaction

GREY - Imported then user edited


Each entry will have a Transaction Type, typically either Business Income or Business Expenses, however, these can be changed to: 

  • Bank Transfer Out
  • Bank Transfer In
  • Personal Income
  • Personal Expenses

   

  • Change the Transaction Type by clicking on the description and choosing a more appropriate description.
  • Select Edit or Delete from the action dropdown list on the transaction line as appropriate
  • On the transaction edit screen, specify the customer or supplier. Reference numbers can be added, and Income or Expenses heading can be changed.
  • On the edit screen, there is a tick box Treat similar transactions the same if this is ticked then the next time the system will automatically edit similar transactions.
  • When Treat similar transactions the same is ticked and Save changes pressed, a further prompt asks Apply now to all pending transactions? to update all similar transactions in the list. All changes to pending transactions will be marked yellow and the original edited transaction marked grey.
  • When all necessary amendments have been done click Confirm Transactions to post the imported transactions to the books. Delete All will abandon the import transactions and leave the books of account unchanged.
